Privacy policy
This policy explains how K-Soft handles personal data in MisNotas: the web portal (portalmisnotas.app), the MisNotas mobile app and this website (misnotasenclase.com). This is a translation; if there is any difference, the Spanish version prevails.
1. Who is responsible
MisNotas is a service of K-Soft, based in Guatemala City, Guatemala. For any privacy question, write to us at privacidad@misnotasenclase.com.
Each school that uses MisNotas decides which data about its students, parents, teachers and staff it records and what it uses it for; it is responsible for that data towards its community. K-Soft processes it on the school's behalf, only to provide the service. The data you leave in this website's contact form is handled by K-Soft directly.
2. What data we handle
| Type | Examples |
|---|---|
| Identification | First and last names, CUI or DPI (national ID), date of birth, gender, student ID, profile photo and nickname. |
| Contact | Email, phone number and address. |
| School life | Enrollment, grade and section, schedule, homework and the files students submit, grades, report cards, attendance and absence notices (with the reason the family writes). |
| Communication | Announcements, calendar events and messages between families, teachers and the school. |
| Payments | Charges, recorded payments, receipts and transfer receipts. We do not store card numbers or online banking passwords. |
| Bus and cafeteria | Who got on and off the bus and when, purchases at points of sale, spending limits and allergies recorded by the family or the school. |
| Location | Only the bus monitor's phone, only while the "My bus" screen is open, and only when marking a pick-up or drop-off. We never track in the background, and never the location of students or parents. |
| Device and usage | The code used to send notifications to the phone, the phone's model and system when a homework assignment is opened, and the sign-in records needed to keep the account secure. |
| Contact form | Name, school, role, email, phone and your message. |
The app uses the camera only when you ask it to: to scan attendance QR codes or to take a photo for your profile or a homework submission. It does not use the microphone.
3. What we use it for
- Providing the school service: grades, attendance, homework, schedules, communication, payments, bus and cafeteria.
- Sending notifications you expect: arrival at school, homework, messages, account statements.
- Protecting accounts: signing in, recovering passwords and detecting misuse.
- Replying to people who write to us through the contact form.
We do not sell personal data, we do not show advertising and we do not use students' data to build commercial profiles.
4. Who can see it
Inside MisNotas each person sees only what concerns them: the school sees its own community's data, according to each staff member's role; a teacher sees their classes; a parent or guardian, their children; a student, their own records. Guatemala's Ministry of Education (MINEDUC) has access to the information of registered schools for its supervisory duties.
To work, MisNotas uses these providers, which handle data only to provide their service to us:
- Supabase: database, accounts and files (servers in the United States).
- Vercel: hosting for the web portal and this website.
- Resend: sending emails (invitations, password recovery, contact form).
- Expo and Firebase Cloud Messaging (Google): sending phone notifications.
- Cloudflare: domain names and email forwarding.
- Google, only if you choose "Continue with Google" to sign in.
That is why some data is stored outside Guatemala. We will only share data with an authority when the law requires it.
5. How long we keep it
- School records (enrollment, grades, attendance, report cards, payments) are kept while the school uses MisNotas and needs to keep them.
- Files students submit for homework are deleted two months after the end of the school year.
- Chat messages are deleted according to the platform's rule (30 days, 60 days or the end of the school year); before that, a backup copy is kept that only MisNotas administration can open, for example to handle a report.
- Notifications in the app's inbox are deleted after 120 days.
- Contact form messages, while we are in conversation with you.
6. Minors
Student accounts are created by their school, which is responsible for having the authorization of the parents or guardians. Linked parents and guardians see their children's information in the app and can ask the school, or us, to correct or delete it.
7. Your rights
You can ask to see, correct or delete your personal data, or your child's if you are their parent or guardian. You can change much of it yourself in the app (photo, nickname, phone), and the school can change it in the portal. For anything else, write to your school or to privacidad@misnotasenclase.com from your account's email. We reply within 30 days. To delete your account, see Delete my account.
8. How we protect it
- Encrypted connections (HTTPS) on the web and in the app.
- Permissions checked in the database: one school cannot see another's data.
- Photos, homework and receipts in private storage, with links that expire.
- Passwords only their owner knows, and web sessions that close on their own after hours of inactivity.
9. Cookies
The portal uses only the cookies needed to keep you signed in and remember preferences (language, colors, selected school). We do not use advertising or tracking cookies. This website does not store cookies.
10. Changes
If we change this policy, we will publish the new version on this page with its date. If the change is important, we will also announce it on the platform.
